Minutes of the Third Vidyalaya Management Committee Meeting for the Session 08-09 held on 27.02.2009

The 3rd Meeting of Vidyalaya Management Committee for the session 2008-09 was held on 27.2.09 in the Chairman's Office at 10.30 a.m. The meeting was Chaired by the Chairman, VMC Prof. Ved Prakash.

The following members were present in the meeting.

The meeting commenced with a formal welcome of the VMC members by the Principal.

AGENDA ITEM No. 1: The VMC members confirmed the minutes of the previous meeting held on 17.01.2009.

AGENDA ITEM No. 2: The Principal briefed the committee regarding the number of quotations called, received and the estimated rates for various work/purchase.

2(A): Especially in the case of whitewash and painting the Principal informed the VMC that six Quotations were called and only three turned up. The lowest rates have been quoted by M/S Ganesh builders & Decor. The said builder measured the building and gave the estimated rates and other details as given in the annexure 1.

2(B): In response to purchase of Handicam/Camcorder the committee agreed on the Proposal to purchase Handy cam/Camcorder to cover different programmes/ activities organized at the Vidyalaya level for future reference of such activities.

2(C): Taking care of the importance to promote primary classes activities under the Common Minimum Programme(CMP) the VMC members agreed on the proposal to purchase DVD for the Vidyalaya.

2(D): The VMC members approved the proposal to install/purchase swings for the children of primary section for recreation and to make them physically sound.

2(E): In response to the agenda to purchase Lingua-phone the VMC members agreed on the proposal laid down by the Vidyalaya to improve innate competencies and abilities of the students.

AGENDA ITEM No. 3: The Principal apprised the VMC regarding the change in financial and purchase procedure. The VMC members require to implement the new guidelines mutatis mutandis of KVS.

AGENDA ITEM No. 4: Regarding members of purchase committee the Chairman VMC instructed the Principal to form the purchase committee consisting of dedicated, honest and hardworking teachers from the Vidyalaya.

AGENDA ITEM No. 5: In response to the agenda to hold interviews for contractual teacher for the session 2009-2010 the VMC members gave the permission to hold the same in the Vidyalaya.

AGENDA ITEM No. 6: In response to the agenda regarding re- appropriation of the budget the VMC agreed on the proposal that the budget for the year 2008-09 may be re- appropriated as per the KVS norms.

AGENDA ITEM No. 7: The Principal informed the committee that as per KVS instructions the annual function of the Vidyalaya is now to be celebrated in the KVS auditorium at K.V.No.-2 Delhi Cantt, charges of which is Rs. 60,000/-. The VMC members requested the Principal to fix the final date of the celebration on the availability of the auditorium. Further it was decided that all members of the VMC should in turn get a chance to be the Chief Guest for the function.

The meeting ended with a Vote of thanks from the Principal.
